Quick Setup Guide for Penrith Panthers Volunteers

🚀 QUICK START CHECKLIST

Total Setup Time: 5 minutes

Log in

📦 What's in the Case

Main POS System:

  • Touch screen computer (called "Senor Nano")
  • Charging cradle for the computer
  • Power supply (plugs into back of cradle)

Payment Terminals:

  • 2x OMNI EFTPOS terminals
  • 2x Charging cradles
  • 2x Power supplies (plug into left side of cradles)

🔌 Powering On

EFTPOS Terminals:

Find the power button on the LEFT SIDE of each terminal
Press once to turn on
Wait for the screen to light up

Main POS Computer:

Find the power button on the computer
Press and hold for 1 second until you hear a BEEP
Wait for Windows to start up
⚠️ IMPORTANT: Each EFTPOS has an ID number on a label underneath - you'll need this later!

📶 Internet Connection

Both the POS and EFTPOS need the internet to work together

  • Check signal strength: Need 3+ bars on mobile network
  • POS Computer: Look for the cellular signal icon in Windows
  • EFTPOS: Will connect automatically when turned on
💡 If the internet isn't working: Exit POS program → Go to Windows → Click signal bars → Make sure "Cellular" button is BLUE

🖥️ Starting the Programs

⚠️ MUST DO IN THIS ORDER:
Start Station Manager
Click the "Station Manager" icon and wait for it to load fully
Start Touchtec POS
Click the "Touchtec" icon - the Login screen will appear

🔑 Logging In

The Login Screen Has 3 Parts:

  1. Number keypad (left side)
  2. Quick login buttons (middle)
  3. EFTPOS status (right side)

To Login:

Type your user ID on the keypad
Option A: Press ENTER (you'll need to type ID every time)
Option B: Press an empty quick login button (saves your name for next time)

EFTPOS Status Colours:

  • YELLOW = Ready to use
  • GREY = Offline/not working
  • ORANGE = Currently processing a payment
💡 TIP: To remove a name from quick login, press "CA" then the login button

🛍️ Making a Sale

The Main Screen:

  • Left side: Product buttons
  • Right side: Current order
  • Bottom: Payment buttons and totals

Basic Sale Steps:

Add items: Press product buttons
Change quantity: Press the number, then the product button
Take payment: Press the CASH or EFTPOS button

💳 EFTPOS Payments

Starting an EFTPOS Sale:

Add items to the sale
Press EFTPOS1 (or EFTPOS2) button
The system will:
  • Log you out automatically
  • Send the payment amount to the EFTPOS terminal
  • Show EFTPOS button as ORANGE (busy)

What Happens Next:

  1. Customer uses EFTPOS terminal normally (tap, insert, or swipe)
  2. Wait for payment to complete
  3. EFTPOS button turns YELLOW when finished
  4. Sale is complete!
⚠️ NOTE: If you log back in during an EFTPOS payment, you must wait for it to finish before starting a new sale.

📧 Sending Receipts

After completing a sale:

Press "Send Receipt" button
Enter customer phone or email
Press "GO" to find the customer
Select SMS or Email option
Receipt sent!
⚠️ NOTE: Only works immediately after a sale, before starting the next one.
🆘 TROUBLESHOOTING - Click to Expand

EFTPOS Not Working:

  • Check power (button on left side)
  • Check signal strength (need 3+ bars)
  • Try linking terminals (Manager tab → Terminals)

POS Not Responding:

  • Check the internet connection
  • Restart programs: Station Manager first, then Touchtec
  • Check power connections

Can't Login:

  • Make sure caps lock is off
  • Try typing user ID slowly
  • Ask supervisor for help

Sale Won't Complete:

  • Wait for EFTPOS to finish (button turns yellow)
  • Check the internet connection
  • Try another EFTPOS terminal
🎛️ MANAGER FUNCTIONS - Click to Expand

Press "Manager" tab for admin options (manager access required):

  • Setup: System configuration
  • Terminals: Link EFTPOS units to POS
  • Cash Up: End of day procedures
  • All Orders: View past sales
  • Exit: Close POS program

🔗 Linking EFTPOS Terminals:

If EFTPOS isn't working:

Go to Manager tab
Press the Terminals button
Find the ID number on bottom of EFTPOS unit (e.g., "VF035384")
Select that ID from the list
Save settings
